What do you mean by the "DB text file backup"? Are you referring to the *export* operation as opposed to *backup*?
Anyhow, I don't particularly recommend using the db backup operation to back up images. I like my db backup to be as small and painless as possible to reduce the likelihood of anything messing it up. So I backup my db only (no images, but I do include thumbs) using Database->Back Up Database, and backup my images separate by simply copying them to an external hard drive (that has been excluded from the db) and/or DVD. I can use a simply copy rather than any fancy sync or backup utility because my storage scheme never has me adding to the contents of a folder or otherwise modifying its contents - i just keeping piling on new folders. Once a fodler has been backed up, it's backed up, period.
1. What's the difference between running the Database Backup and a manual backup via the text file , or should I do both ?
If by the latter you mean the export utility, both do serve a similar purpose. The text file is pretty foolproof, so I like having that option. But the regular db is easier to restore from - doesn't require first wiping out your old db, plus it restores thumbnails as well as EXIF, and IPTC info, whereas "restoring" from a text file requires cataloging your images again to rebuild thumbs and EXIF/IPTC info.
If you take advantage of the embedded metadata facility in ACDSee Pro 2.5 (or PM 2009), then backups are not strictly necessary - although still a good idea. But it's nice to know you can restore your entire db directly from the images themselves by simply running the catalog operation.
2. Should I using the Syncronisng routine say weekly to backup the photo's and/or simply copy them using IE7 so they aren't included in the DB ?
If you exclude the folder from the db (Database->Excluded Folder Settings), it won't matter how you get them there. I use ACDSee's Copy to Folder operation.
Whats best way to archive photo to the EHD where I'd want to retain an index ?
Not sure what this means, exactly. You also ask about CD/DVD - I use the regular Create CD/DVD operation, which can be made to include db info if you select the appropriate option (accessed from the burn basket that shows up when you begin the operation). I've never understood the point of an "archive" in the sense of a ZIP file or whatever when it comes to image management - it seems to put a wall between you and your images for no good reason. But maybe I'm missing something.
